Applicant Notice

This Applicant Privacy Notice ("Notice") outlines the data protection and privacy practices of Innovus Labs, LLC ("the Company") with respect to personal information collected during the recruitment and application process in North, Central, and South America. This Notice applies to all candidates applying for employment or contracting opportunities, regardless of the medium through which their application is submitted. It does not constitute an offer of employment or engagement and is not applicable to contingent or freelance talent unless expressly stated.

01Scope of Application

This Notice applies to personal data collected, stored, and processed during and following the recruitment process. It should be read in conjunction with the Company's general website privacy policy. Updates to this Notice may occur periodically and will be made available on the Company's careers website.

02Categories of Personal Data Collected

The Company may collect, store, and process the following categories of personal information:

  • Full name, title, residential address, telephone number(s), personal email address;
  • Date of birth, national identification or government-issued numbers (e.g., social security number) where required for post-offer background verification;
  • Application documents: CV/resume, cover letter, portfolio, personal or professional websites, blogs, and photographs provided voluntarily;
  • Employment history, educational background, skills, certifications, reasons for leaving prior positions;
  • Compensation expectations, details of offers extended by the Company and your responses;
  • Equal Employment Opportunity (EEO) data (e.g., race, ethnicity, gender, veteran or disability status) for compliance with applicable laws in the U.S.;
  • Interview scheduling, questions, feedback, technical assessments and outcomes;
  • Information collected through pre-employment background screening, including criminal checks, credit reports, drug testing, fingerprinting, and references, subject to consent;
  • Feedback provided by you regarding the recruitment process;
  • Your source of referral or information about how you learned of the position;
  • Technical data derived from your interaction with Company websites: IP address, browser type, domain name, device type, platform, access logs, and location data;
  • Online meetings or assessments recorded by the Company, and CCTV footage when attending Company sites;
  • Accommodation requests for disability or medical needs;
  • Immigration or right-to-work verification documentation;
  • Communication preferences, including marketing and privacy settings;
  • Online profile account data including login credentials, activity logs, software or device use, profile forms completed, and stated preferences.

03Methods of Collection

Personal data may be collected via the following sources:

  • Directly from the applicant during communication, registration, interviews, or career site activity;
  • From Company career platforms, online forms, or recruitment applications;
  • From third-party recruitment agencies acting on your behalf;
  • Through internal referral programs, with your consent;
  • From public job boards and professional networks (e.g., LinkedIn, GitHub);
  • From third-party vendors engaged to validate public or historical employment data;
  • Through system and web analytics as part of your interaction with our websites.

04Purpose of Processing

Personal data may be processed to:

  • Facilitate your application, including registering and managing your profile;
  • Assess qualifications for open roles and maintain a record of applications;
  • Communicate with you during the hiring process;
  • Evaluate your performance in interviews or technical evaluations;
  • Ensure compliance with legal, regulatory, or contractual obligations (e.g., EEO or background checks);
  • Process accommodation requests and ensure accessibility compliance;
  • Manage onboarding if you are selected for employment or engagement;
  • Improve internal recruitment strategies and analyze applicant engagement;
  • Detect and prevent security risks or fraud;
  • Administer surveys and gather feedback about the recruitment experience.

05Use of Artificial Intelligence (AI) in Recruitment

The Company may employ artificial intelligence (AI) tools in its recruitment workflows. Such tools may assist with:

  • Pre-screening applications;
  • Analyzing CV content against job criteria;
  • Transcribing interview content;
  • Generating internal candidate summaries.

AI is used solely to support human decision-making. The final hiring decision is made by human reviewers. All AI processing occurs within the Company's secure IT infrastructure and is not shared externally.

06Sharing of Personal Data

Your data may be shared:

  • Internally with relevant recruitment, legal, or management personnel;
  • With affiliated group companies where required for role consideration;
  • With clients when required to assess candidate suitability (with or without anonymization);
  • With third-party vendors performing services on our behalf, including technical assessment platforms, survey providers, background check agencies, and cloud-based applicant tracking systems;
  • With communication vendors managing email and campaign distribution;
  • With public authorities or legal entities to comply with applicable law, regulation, legal process, or enforceable government request.

Where data is transferred internationally, appropriate legal safeguards such as contractual clauses, intra-group agreements, or regulatory authorizations are implemented.

07Security and Retention

The Company implements physical, technical, and organizational safeguards to protect personal data from accidental loss, misuse, unauthorized access, disclosure, or destruction. Personal data is retained only for as long as necessary for recruitment and compliance purposes. The specific duration varies by jurisdiction and position type.

08Recruitment Campaigns and Communications

If you opt into recruitment campaigns, you may receive updates about new roles or related opportunities. You may unsubscribe at any time using:

  • The unsubscribe link in any campaign email;
  • Your online profile preferences (if applicable);
  • A direct request to our privacy contact email.

The Company will process your unsubscribe request within 72 hours.

10Jurisdiction-Specific Notices

California (USA)

California applicants may have additional rights under the California Consumer Privacy Act (CCPA) and other state regulations. Please refer to the Company's California Applicant Privacy Addendum for more information.

Canada

You may request access to or rectification of your personal information or object to its processing. Please contact the Privacy Office at [email protected] to exercise these rights.

Mexico

Under Mexican data protection law, applicants may exercise ARCO rights (Access, Rectification, Cancellation, and Opposition). Please submit such requests to [email protected]. Additional information regarding required documentation and response timelines will be provided.

Colombia

Where sensitive personal data is provided (e.g., photographs, fingerprints), you explicitly authorize its processing for security, validation, and verification purposes.

Argentina

Per Regulation AAIP 14/2018, you may access your personal information free of charge every six months unless a legitimate interest exists. Requests should be sent to [email protected]. Regulatory concerns may be directed to the Argentine Agency for Access to Public Information.

Dominican Republic

In accordance with Law 172-13, candidates may access, rectify, or delete their data by contacting [email protected]. Consent to processing and data transfer is granted upon acceptance of this Notice.

Uruguay

Consent permits the inclusion of your personal data in the Company's applicant database managed by Innovus Labs, LLC. You may exercise rights to update, rectify, delete, or include personal data by writing to [email protected]. Failure to provide required data may affect your eligibility.
